The Executive Assistant is responsible for providing advanced, diversified, confidential administrative support to senior executive(s). Assists other leadership team members as necessary. Handling of confidential information is a critical aspect of this role. Performs duties in a safe, efficient manner and in compliance with all applicable rules and safety procedures.


Assists with correspondence, memos, letters, and reports; initiates routine and some non-routine correspondence and memoranda

Screens telephone calls and visitors, and resolves routine and complex inquiries

Establishes, monitors, and follow-up on suspense items requiring approval

Schedules and maintains executive calendars, meetings and travel arrangements, etcetera

May interact with all levels of management including company officers and board members

Prepares documents for account expenditures and determines expense allocations

Ensures accuracy and proper documentation of staff expense reports

Compiles and prepares travel and administrative account reports

Scans/copies materials, correspondence, and reports as needed

Assists with reconciling and processing vendor payments and other invoices

Coordinating the quarterly updates of the organization charts for all departments

Assists with assigned projects as needed

Promotes safety awareness and follows safety procedures in an effort to reduce or eliminate accidents



Minimum of a GED/High School Diploma

Minimum of 8 years administrative support experience, with a minimum of 3 years’ senior executive level support experience preferred

Experience working with General Counsel and with Legal Function

Experience working with Board of Directors (BOD)

Strong Microsoft Office skills (Word, PowerPoint and Excel)

Sound judgment, time management, organizational skills

Excellent verbal and written communication skills

This position generally includes standard business hours in an office setting

Must be able to lift approximately 0- 25 lbs.
